August 4, 2004
The meeting was called to
order by Jen Cooper, HWSA President, at Metropolitan Multi-Service Center at
7:35 p.m.
Women's

MINUTES:
Minutes of the May 5, 2004
meeting were posted on the website and emailed to all team reps.
Minutes of the May 5 meeting were approved as presented.
President:
1. Jen conveyed the Building Coordinator’s apology for
last week’s scheduling error and thanked everyone for coming this week on short
notice. The remainder of this year’s
meetings will at the Metropolitan Multi-purpose Center unless cheaper space is
found.
2. The Texas
State Soccer Association – South (TSSAS) Annual General Meeting will be held in
Houston on Aug 21. Vice President,
Secretary, and Treasurer positions are open.
3. When you are
on the field, please do not come complain to an HWSA board member if you are
having problems with your referee. The
referee has the final word on the game.
Vice president:
1. Copies of the rules for Women’s and Coed
Leagues are available at the door.
2. There have been several player conduct complaints. Team reps need to make their players aware of the Player Code of Conduct, with special emphasis on respecting the other team and the referee.
3. All players must have Player ID cards. The referee can choose to accept alternate ID, such as a Driver License, at his/her discretion.
4. Volunteers
are needed for the Fall Discipline and Protest Committee (D&P). See Ben after the meeting.
Secretary:
1.
See Sara after the meeting if you missed Roll Call. Absences will not be fined due to short
notice of meeting date change.
Registrar:
1. Cecil is the
Registrar, not the Registration Administrator.
2. Mary is the
Registration Administrator and works for HFA.
We pay HFA for her services for registration.
3. If you have
questions about registration, team reps can direct them to Mary. Only team reps should contact Mary.
4. Mary
reviewed the player registration process.
Instructions will be available online and an email will be sent when the
system is activated. All rosters will be
blank to facilitate the registration process.
Since we share the registration system with HFA, you may see a player
has already been registered. You may
still register them for your team. There
may be several duplicate last names and duplicate full names, make sure you are
registering the correct person.
5. Players who
have made a name change should take the opportunity to change the name on their
Player ID card and registration form so there is no confusion.
6. Each player
has an ID Number. For HWSA, the number
will be 713-12-xxxx. 713-11-xxxx denotes
an HFA player.
7. September 1
is the player registration deadline. All
players must be registered online by this date in order to be eligible for the
first game of the Fall season. Players
registered after September 1 and before September 8 will be eligible for the
second game of the Fall season. Players
can only be registered online. Printed
rosters will not be accepted.
Additionally, players must have a signed Player Registration Form and an
ID card to be eligible.
8. HFA office hours will increase next week for registration.
9. Registration
is September 1 from 6.30 – 8.15. Note
the earlier time due to the Metropolitan Multi-Purpose Center closing time.
10. In order to
register your team, you must have eleven players on your roster and you must
pay or have paid all fines for cautions, ejections, forfeits and meeting
absences.
Treasurer:
1.
This month our balance is $32,700.
Our Wells Fargo bank account balance is $81,739.83. Some of this money will be moved to a CD to
mature. We front Alief $15,000 per year
in exchange for $16,000 per year of field use.
Women's Commissioner:
1. Lisa is out
tonight. Email her if you have
questions.
2. Contact
Heather Correll if you are looking for players.
3. Tom
Whitehurst has printed women’s team registration forms available if you have
not registered online.
Coed Commissioner:
1. If you have
not submitted online team registration forms, you may complete the printed
registration form tonight and give it to Chris.
If you need to pay your deposit, see Patti after the meeting.
2. If you are a
rep for a summer team that is not playing this Fall, see Chris.
3. Previously,
HWSA rules state that a player can only play for one coed team. The rule has changed so that a player may
play on a coed Sunday team and a coed Monday team since they are considered
separate leagues, provided the player register and pay fees for both teams.
4. T-Shirts for
Synergy, Revolucion, and Malteasers are at the front.
1. Alief is leveling some fields we use and that
problem has been addressed.
1. Heather has
the list of players looking for a women’s team.
The coed list is at the door.
2. There will
be another new player roundup soon.
3. There are
also two upcoming clinics, August 21 and 28, which are good recruiting
opportunities.
1. HWSA women’s
tournament is October 23, 24.
2. AWSL Austin
women’s tournament is October 2, 3. You
must give 2 weeks notice to the women’s commissioner if you need your game to
be rescheduled because of the tournament.

not yet announced the dates for its tournament

OLD BUSINESS

NEW BUSINESS
1. Minor
changes to the 2004-2005 budget before discussion: Under Expenses-Women’s
Fall/Spring Proposed Budget to be changed from $5,760 to $5,750. Meeting Expenses to be changed from $800 to
$1000. Tournament Expenses to be changed
from $5,000 to $3,500. Total Expenses to
be changed from $127,010 to $126,000.
2. The major
differences from the 2003-2004 budget revenues and 2003-2004 actual revenues
were due to not having the 8x8 or the tournament and due to women’s summer
revenue being down. This year, the
proposed budget includes the 8x8 and the tournament.
3. The major
differences from the 2003-2004 budget expenses and the 2004-2005 budget
expenses are largely due to increases in state fees and women’s registration
fees, as well as increased cost for online registration due to projected
membership growth.
4. Motion to
approve the budget with minor changes passed.
ANNOUNCEMENTS
1. USA Olympic
Women’s Soccer kicks off next Wednesday against Greece. Sophia Smith, HWSA player and Greek National
Team player, wears #3. You can see the
game at 10am Wednesday on MSNBC.
2. Next league
meeting September 1, Fall Season Player Registration, 6:30 – 8:15.
3. Reminder to
volunteer for the D&P committee.
4. Skills
clinics on August 21 and 28. $5
fee. Players age 16 and older. There will be a Goalkeeper clinic at the
August 21 Skills clinic.
